Reception/Administrative Assistant, 37 hrs/week, term time only, temporary for 1 year in the first instance. (GLPC-C SCP 4-5, £18,933 - £19,312 pro rata = approx £16,619-17,489 per annum).
 
Oak Field School is a Special School for 168 pupils aged 3-19 with a wide range of learning and physical disabilities, including complex health needs and some challenging behaviours.
  
We are seeking a positive, proactive, enthusiastic, and highly organised person with excellent communication skills and a strong background in successful school or similar administration and/or reception duties, who can communicate effectively with a wide range of people; a broader interest in contributing towards improving outcomes for children and young people with SEN and/or disability and their families is desirable.
 
The post holder, under the direction and guidance of the Office Manager (OM) and Senior Leadership team (SLT), will provide efficient and effective administrative/organisational/clerical support to the school; this will include reception duties (currently 2 days/week) .In terms of the wider school,this will include routine/general administration, administrative and organisational support for extra-curricular visits and activities outside school hours (e.g. after-school clubs and theatre visits), volunteers, and the Old Students Association.
 
The administrative element of the role includes providing administrative, clerical and organisational support for:
  • After-school clubs and extra curricular visits
  • Volunteers
  • Special events, including Post-16 and Old Student User Groups and activities
  • Friends of Oak Field (charitable organisation)
  • Routine letters, and simple data and information, including a weekly school bulletin
  • Providing back-up for Reception
  • Providing general clerical and administrative support, including reprographics
  • Assisting with the training, development and supervision of work experience students and volunteers, alongside the Office Manager and School Admin Officer, as appropriate
   
It also includes Reception duties (currently 2 days per week);
  • Reception and switchboard
  • Welcoming pupils, staff, parents/carers, Hydro pool and café users, other professionals and visitors
  • Controlling the school entrance doors, with the emphasis on Safeguarding
  • Liaising with Transport, Respite services and School Medicines Assistants, especially in terms of medication transit
  • Delivering messages, sorting the post and dealing with deliveries
  • Maintaining bus, home-school transport lists and pupil and staff information such as after-school club and car registration lists etc.
  • Maintaining clean and tidy Reception and Heart Space areas
  • Managing lost and found property
     
The post holder is expected to support the development within the school of school admin-specific software, to be willing to undertake further training as appropriate, and to participate actively in the wider life of the school, including enrichment opportunities. The school understands that some training might be needed in the first instance, and will be supportive of this. In this case, however, we would be looking for a quick learner!
  
Core Hours are Mon-Weds 8.30am-4pm, Thurs-Fri 8am–4.30pm, with 30 minutes lunch break.
